About the role
The Facilities Coordinator plays a critical role in managing the day-to-day facilities operations across Lendi Group’s offices nationally, ensuring a safe, well-maintained, and efficient workplace experience for our people and visitors.
Reporting into the Facilities Manager, with a dotted line to Procurement, this Sydney-based role provides operational, administrative, and coordination support across all state offices. You will work closely with building management, landlords, suppliers, and internal stakeholders to manage office access, onboarding and offboarding logistics, maintenance requests, and essential services.
This role also provides light operational support to the Procurement team, helping to track tickets, progress routine transactions, and coordinate basic contract and supplier documentation. Your work will be essential in ensuring our offices run smoothly, issues are resolved quickly, and key facilities and procurement processes are well controlled and well documented.
Job Description
- Facilities Coordination | Act as the primary day-to-day point of contact for facilities matters across all offices nationally, including Sydney, Melbourne, Canberra and other states, ensuring issues are triaged and resolved in a timely manner.
- Workplace Access & On/Offboarding | Coordinate office access cards, security passes, parking allocations and other workplace logistics for new starters, movers and leavers, ensuring a smooth and professional experience.
- Maintenance & Building Liaison | Log, track and follow up on building and office maintenance issues, proactively coordinate scheduled services (e.g. air conditioning, security, cleaning) and liaise with building management and landlords to ensure compliance with agreed standards.
- Supplier Coordination | Support the management of facilities-related suppliers, including cleaners, security providers, and maintenance contractors, ensuring service levels are met and issues are escalated or resolved as required.
- Health, Safety & Office Standards | Help maintain safe, clean and well-presented office environments by coordinating remedial actions, flagging risks, and supporting adherence to Lendi Group workplace policies and building requirements.
- Reporting | Prepare and maintain basic facilities reports, logs and dashboards to provide visibility over maintenance activities, supplier performance, access requests, and office incident trends.
- Data and Document Management | Maintain accurate records, trackers, and documentation for leases, contracts, work orders, inspections and facilities-related procedures to support operational continuity and auditability.
- Procurement Support | Provide light administrative support to Procurement by monitoring tickets, checking that requests are complete, tracking progress of day-to-day procurement activities, and assisting with routine contract and documentation processing.
- Stakeholder Collaboration | Work closely with People & Culture, Technology, Procurement, and office-based leaders to coordinate facilities support, manage expectations, and communicate updates clearly and professionally.
- Ad Hoc Support | Flexibly respond to unplanned facilities issues and operational needs (e.g. urgent repairs, office incidents, VIP visits, events), providing hands-on coordination and support to keep office operations running smoothly.
Qualifications
- 3+ years' experience in a facilities, office management, operations, or similar coordination role.
- Demonstrated experience managing suppliers and external stakeholders (e.g. building management, landlords, cleaners, security, maintenance providers).
- Highly organised with strong attention to detail and a proactive, service-oriented mindset.
- Excellent written and verbal communication skills, with the ability to engage confidently with stakeholders at all levels.
- Strong ability to manage multiple tasks, prioritise effectively, and respond quickly to ad hoc issues across multiple office locations.
- Competence with Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work independently and take ownership of day-to-day facilities activities, while collaborating closely with Sydney-based and cross-functional teams.
Preferred:
- Atlassian software | Competency in Confluence and JIRA, or similar ticketing / service management tools.
- Experience in a procurement, operations, or vendor management environment.
- Background in coordinating facilities across multiple sites or regions.
- Experience in a customer-facing, growth-focused, or fast-paced environment would be advantageous.
