We are looking for a detail-oriented and organised individual to join our team as a Office Administrator / Accounts Payable. Reporting into our Senior Accountant this role is crucial in maintaining accurate financial records, overseeing administrative tasks, and ensuring the smooth operation of our office - initially based at our site in Mitchell but moving to Jerrabomberra when our new facility is open in early 2025.

The ideal candidate should have a strong background in bookkeeping, office management, and a commitment to maintaining the highest level of professionalism and confidentiality.

Key Responsibilities...

Accounts Payable:

  • Supporting the finance team keep accurate financial records through the timely processing of invoices, receipts, and payments (using Xero)
  • Supporting the operations of the R&D facility through the timely receipting and recording of inventory (using Xero and Cin7)
  • Monitor and track expenses, ensuring compliance with budgetary guidelines.
  • Support colleagues to prepare Purchase Orders (for large expenditure items) in alignment with company processes.
  • Support the Senior Accountant with asset management tasks.
  • Reconcile bank statements, credit card statements, and other financial records to ensure accuracy.

Office Administration:

  • Manage office supplies and equipment, ordering as needed to ensure smooth operations.
  • Answer and direct incoming emails, providing excellent customer service to clients and vendors.
  • Managing visitors and contractors coming into the building – including assisting with safety briefings as required.
  • Liaising with the building manager on any upcoming emergency drills and building maintenance.
  • Building relationships with local trades to ensure a strong network of resources in the area.
  • Assist in HR-related tasks, such as helping to coordinate onboarding and offboarding new employees.

Qualifications:

  • Qualification in Bookkeeping, Accounting, Finance, Business Administration, or a related field preferred (or studying towards).
  • Proven experience in accounts payable and office management roles.
  • Strong proficiency in accounting software (Xero preferred) and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Excellent attention to detail and accuracy in data entry and financial records.
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines.
  • Exceptional communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Problem-solving skills and a proactive approach to addressing issues.
  • Team player with a positive attitude and the ability to collaborate effectively.
